The Best CAFM Software

The task of finding a facility management solution for an organization can be very difficult in large facilities that require many different features from their software. With so many options out there that all preach the same things, it can be hard to distinguish one from the next. To ease the challenge of finding the best CAFM software, I have compiled a list of features that any facility management software should include in some form or another, and I have explained what each of these features are capable of doing.

Maintenance Management

All facility management solutions will offer some kind of maintenance software application. At the very least, they should have work a order application, or a work order tracking application, which allows your organization to create and track work orders for maintenance activities. However, your company will want to look for more specific applications such as facility condition management, which allows your organization to evaluate the condition of your company’s buildings, or preventative maintenance, which automates maintenance tasks. Applications like this may fall under CMMS, which is similar, but offers even more sophisticated maintenance applications than what is normally found in facilities management software.

Asset Management

An asset management software application tracks and manages your company’s assets. It helps your organization keep track of where assets are located, which department uses them, how often they are used, and when they need to be repaired or replaced. This includes but is not limited to artwork, furniture, IT infrastructure, and lab equipment. By storing the information in one place, your company will be able to keep more reliable and up to date information about assets and expenses. It will also help your organization understand how to optimize the use and placement of assets […]

Top 10 Reasons to Implement a TIFM

A Total Infrastructure and Facilities Management Solution (TIFM) is a comprehensive, integrated set of solutions that tie people, processes, and physical assets together to form the core of a more productive organization. These are the top ten reasons to implement a TIFM:

10. Increase your visibility in the organization and collaborate with all other areas of the organization to increase overall stakeholder value.

9. Visualize your facilities and infrastructure and speed the flow of accurate, graphical knowledge across your organization by using the TIFM’s simultaneous, bi-directional updating of drawings and database.

8. Quickly generate accurate reports and satisfy both internal and external reporting requirements by linking drawings of your facilities and infrastructure to a database to easily present information about space, assets and personnel.

7. Increase your staff’s productivity by decreasing time spent on mundane tasks that drain your staffs energy, and virtually eliminate the task of maintaining multiple databases.

6. Seamlessly exchange information with other departments in the organization, and access data from diverse applications, systems, and locations.

5. Enable strategic decision making with a simple method of evaluating your current physical asset portfolio and forecast future needs.

4. Improve operational efficiency by maintaining one centralized repository of facilities and repository information. This will allow you to reduce redundancy and increase the consistency and accuracy of information, and will also let you leverage existing information instead of recreating it.

3. Track and manage your assets more effectively by giving you access to details on space and asset usage, ownership, equipment statistics, supply inventories and condition assessments, and will also allow you to allocate resources according to the organization’s needs.

2. Gain a more accurate inventory of resources with the TIFM which will allow you to avoid buying or leasing new space, equipment and other physical assets, and will enable you to find out where you can save money by reallocating […]

What is Facilities Management?

As defined by The International Management Association, facility management is the “practice of coordinating the physical workplace with the people and work of the organization.” This includes, but is not limited to portfolio forecasting, equipment maintenance, and space planning. Facility Management software supports these activities and has applications for managing assets, maintenance records, real estate portfolios, and space. A well implemented system will help companies cut costs from maintaining their facilities, improve flow of information across departments, and boost the efficiency of operations.

Facilities encompass everything necessary for an organization to operate that are not the products or services themselves. This includes property, buildings, utility equipment, interior fit-outs, office furniture, and communication devices. What this means is that facility management includes multiple activities to ensure functionality of the built environment by integrating people, places, processes, and technology.

How old is facilities management?

Facility management emerged in the early 1980’s in recognition of the value offered through the management of all support activities and their importance that they have in support of the core organizational activities. Recently, software developments have allowed for computer aided facility management which manages all support through information technology.

How can I benefit?

Facility management, operation, and maintenance are the largest overhead costs, the greatest influence on customers, and make up 80% of the whole life cost of any development or asset. All of these non-core activities will be transferred to facility management software to be dealt with. This could eventually introduce innovation to improve standards, improve the client’s main activities, and protect associated investments. Facility Management at the beginning of the design process will add value by generating cost savings throughout the life of the project.

What makes facilities services and facilities management different?

Facilities services are […]
